Course booking and payment conditions

Making a booking

Please complete one booking form for each person. You can photocopy the form as many times as you need. Booking forms can be found inserted in this training programme and on our website. Or you can telephone our Training Administrator on 0115 934 8400 who will fill in a booking form for you.

Post your booking form with full payment to Training, NCVS, 7 Mansfield Road, Nottingham, NG1 3FB. If requesting to pay by invoice, or requesting a bursary application place, you can fax the booking form to NCVS on 0115 934 8440, or email it to training@nottinghamcvs.co.uk.

Confirming your place

When we get your booking form, we will send you a confirmation letter. The letter will tell you if the place is confirmed, or is reserved waiting for your payment. If you requested a bursary place, your confirmation letter will tell you if this has been agreed. If we are unable to offer a bursary we will ask you to make a payment to confirm the place.

Please let us know if you have not received a letter from us within ten days of sending your booking form. You cannot attend a course if you have not had written confirmation from us.

If a course is full

If a course is full we will send you a letter saying you are on a waiting list. If a place becomes available we will contact you again.

Joining instructions

We will send joining instructions to you at least seven days before a course, which will include venue details. If you have not heard from us six days before an event contact us on 0115 934 8400.

Payment

Courses are aimed at Nottingham city voluntary and community sector (VCS) groups. We can offer places to private or statutory sector groups, but we will charge double the fee. We can also support VCS groups from surrounding areas, and development workers from local infrastructure organisations. For these two categories of organisation we will agree which fee level to charge based on the individual circumstances.

We can only secure a booking if full payment has been sent by cheque, or you have asked for an invoice. The invoice must be paid within 21 days of us receiving your booking form.

If paying by cheque please send it with your course booking form. Please make cheques payable to ‘Nottingham CVS’.
Non-payment of the fee can result in us cancelling your reserved place.
If you are applying for a bursary, send in your booking form without any payment. The place will only be confirmed if we send you confirmation in writing.

Substitutions by you

If you have paid for a place on a course, there will be no additional charge if a substitute person from your organisation wishes to come on the same date and same course instead.

If a substitute is attending, please let us know as soon as possible, no later than two working days before the course date. This is so that we can make sure that the register, name badge and certificate are amended.

Substituting a bursaried place

If you have a bursary place and wish to substitute another person from your organisation, please contact us at least two working days before the course. We reserve the right to offer the bursaried place to another group instead.

Cancellations by you

You are liable for the whole fee unless we receive written notification of a cancellation at least ten days before the event, whether payment has been received or not.

Refunds

We will refund the course fee if you have given us at least ten days notice.

We regret we cannot accept telephone cancellations. We recommend that you contact us by telephone to confirm receipt of your cancellation, as we cannot be held responsible for delivery failures.

Non-attendance

Cancellations with less than ten days notice will not be refunded. Please note that non-attendance at a course counts as a cancellation.

Cancellation by NCVS

We reserve the right to withdraw a course at any time. This may happen for a number of reasons, for example; low numbers of bookings or last-minute unavailability of the trainer.

In the event that NCVS withdraws a course, participants will be offered a full refund, or a credit for an alternative course or date if applicable. NCVS cannot be liable for anything other than refunds of course fees, credits or alternative dates.

Conduct

Bursaries (free places)

NCVS bursaries can provide free training places for:

Paid staff or volunteers from voluntary and community sector (VCS) groups, active in Nottingham, with an annual income of less than £20,000 per year.

Each course has been allocated a maximum of two bursaries on a first come, first served basis for people who meet the criteria. We will also take into account how many free places one individual or group has received over the course of a year in order to spread the free places across as many small groups as possible.

All courses must be paid for in advance even if you are applying for a bursary place. If you are offered a bursary place your cheque will be returned upon attendance of the course.

Please note our normal cancellation conditions apply. This means that if you do not attend, or do not give us ten days notice of cancellation, or have not received a written agreement of substitution, you will be charged for the place.

Data protection

NCVS will use the information you provide on your booking form, and additional information you may provide in the future, for administering our training courses and for monitoring purposes.

We will not disclose this information to any other person or organisation, except in connection with the above purpose.
All course participants are provided with a list of their co-participants’ names and organisations, but no further details.
