Training Rooms Terms and Conditions

  1. All visitors must abide by the NVAC Fire and Health and Safety procedures. Copies are available from Reception and displayed on the notice board by Reception.
  2. For Health & Safety purposes, the trainer/facilitator is responsible for ensuring all attendees sign the signing-in sheet provided within the room on the day.
  3. The hirer [the named contact for each booking] will be responsible for the effective control of the function and for the safe evacuation of all persons attending the function in the event of the fire alarm sounding, using the signing-in sheet for roll call purposes.
  4. Any accidents which occur within the building should be reported to the Receptionist and an entry made in the Accident Book located in Reception.
  5. Smoking is not permitted within the building or outside under the front canopy. Smokers may use Peachey Street side of building near cycle lockers. Please use the wall mounted bin to dispose of your ash and cigarettes.
  6. No dogs allowed except assistance dogs.
  7. No alcohol is to be consumed in the Centre without an 'occasional licence' or 'occasional permission' being obtained.
  8. Training equipment can be provided for an additional fee and must be requested when booking. The equipment is the sole responsibility of the trainer/facilitator. The hirer will be charged for any breakages or damages caused to the equipment.
  9. The trainer/facilitator/group are permitted to display material within the training room using Blu Tac on the Perspex areas only.
  10. Any training room furniture must not be stacked or dismantled without prior permission from Duty Staff.
  11. If you wish to cancel the booking the hirer must do so in writing or via email. You will be charged:
    More than 1 month no charge will be incurred, between 1 month & 1 week 25% will be charged, less than 1 week the full charge for room hire, equipment reserved and any other requested services will be invoiced.
  12. Basic refreshments are included in the cost of room hire - this includes teas, coffees and water. Juice & biscuits are available on request and will incur additional costs.
  13. Catering can be arranged on the hirer's behalf from one of the NVAC approved caterers. The contact details of the hirer, date & time of event, number of lunches only, will be passed on to the caterer - any special dietary requirements will not be the responsibility of NVAC. Cancellations for the catering will not be the responsibility of NVAC and should be made by the hirer directly to the caterer.
  14. Additional charges will be incurred for meetings/events which run over the agreed time, at an hourly rate. Charges available on request.
  15. Post event, the room must be left in an adequate condition. Damages to the facilities caused by the hirer or their guests will be charged.
  16. NVAC reserves the right due to unforeseen circumstances to cancel at any time before the commencement of the meeting. NVAC reserves the right to allocate any meeting room which it deems suitable.
